This Privacy Policy explains how Terraxi Lda ("Terraxi", "we", "us", "our") collects, uses, and shares information when you use the Terraxi mobile applications and related services (the "Service").
Terraxi is an operational-communications app: push-to-talk voice, messaging, live location on a shared map, media sharing, and live video for teams and organisations. Because of what the Service does, some of the data we process is sensitive — most notably your precise location and your voice. This policy describes how we handle it.
If you use Terraxi as a member of an organisation or team ("Tenant") that provisioned your access, that organisation is also a controller of your data for its own purposes, and its own policies may apply in addition to this one.

2.Information we collect
a. Account and profile. When you register we collect information such as your name or call-sign, your email address, a password (kept only in hashed form), and the organisations and channels you belong to.
b. Location data. When you enable location sharing, we collect your device's precise GPS location and share it, in real time, with the channels and contacts you choose. If you grant "Always" access, we can share your location while the app is in the background so your team can see you on the map. We may also record your location history ("Trails") when you start a recording. Location sharing is under your control via the in-app sharing switch and can be turned off at any time.
c. Voice and audio. When you push to talk, your voice is transmitted live to the members of the channel you address. Voice messages you record are stored so recipients can play them back. If your organisation enables transmission archiving, live push-to-talk audio may be retained in the channel history.
d. Messages and content you create. We process the text messages, notes, map objects, routes, and other content you send or create in order to deliver them to the intended recipients and store them for later access.
e. Photos, images, and video. When you attach a photo or stream live video, we process and store that media to deliver it to your channels and contacts. Live video is transmitted through our real-time media infrastructure.
f. Emergency and alert data. If you trigger an emergency or alert, we process the associated information (including your location) and deliver it, with priority notifications, to the relevant recipients.
g. Device and technical data. To operate the Service we process device identifiers, push-notification tokens (issued by Apple or Google) so we can deliver notifications, app and OS version, connection information, and diagnostic/log data. We may store a per-installation identifier so one account can be used across multiple devices.
h. Device capabilities. We access the camera, microphone, Bluetooth, and local network only to provide the corresponding features — scanning QR codes and streaming video; push-to-talk and voice messages; connecting to Bluetooth push-to-talk buttons; and discovering Terraxi servers on your local network. We do not access your phone's address book / contacts.
3.How we use your information
- To provide the Service — deliver your voice, messages, media, and location to the people and channels you communicate with.
- To operate multi-device presence and route notifications to your active device.
- To send you notifications you have enabled.
- To secure the Service, prevent abuse, debug problems, and maintain reliability.
- To comply with legal obligations.
4.Legal bases (EEA / UK users)
Where the GDPR applies, we rely on: performance of a contract (to provide the Service you request); your consent (for example, location sharing, camera/microphone access, and notifications, which you grant through operating-system prompts and in-app switches, and can withdraw at any time); legitimate interests (to keep the Service secure and functioning); and compliance with legal obligations. Withdrawing consent does not affect the lawfulness of processing carried out beforehand.
5.How we share information
a. With other users. The core purpose of Terraxi is communication, so the data you send — voice, messages, location, media — is shared with the channels, contacts, and organisation members you direct it to.
b. With your organisation. If an organisation provisioned your access, its administrators may access content and data within their tenant in accordance with their own policies.
c. With service providers (sub-processors). We use a limited set of providers that process data on our behalf under contract:
- Cloud hosting / compute infrastructure — our own hardware, located in the EU;
- Object storage for media — Cloudflare R2;
- Push-notification delivery — Apple Push Notification service and Google Firebase Cloud Messaging;
- Map and tile data providers — OpenStreetMap and OpenTopoMap;
- Real-time voice/video media is processed on our own infrastructure.
d. Legal and safety. We may disclose information where required by law, to enforce our Terms, or to protect the rights, safety, and security of users and the public.
e. Business transfers. If we are involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction.
We do not sell personal data and do not share it with advertising networks or data brokers.
6.International transfers
Some providers (for example, push-notification and storage providers) may process data outside your country, including in the United States. Where we transfer personal data out of the EEA/UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.
7.Data retention
We keep personal data for as long as your account is active. Your messages, location Trails, PTT audio, and other content are retained until you or your organisation delete them — Terraxi does not impose a fixed expiry, so your content stays available to you and your recipients until it is removed. When you delete content or your account, we delete the associated data, except where we must retain it to comply with legal obligations, resolve disputes, or enforce our agreements.
8.Security
We protect data in transit with TLS/HTTPS, and protect stored data with access controls and encryption at rest where our storage providers support it (for example, media held with our object-storage provider is encrypted at rest). No system is perfectly secure, but we apply technical and organisational measures appropriate to the sensitivity of the data.
9.Your rights
Depending on your location, you may have the right to access, correct, delete, or receive a copy of your personal data; to object to or restrict certain processing; and to withdraw consent. EEA/UK users may also lodge a complaint with their data-protection supervisory authority (in Portugal, the CNPD). To exercise your rights, contact [email protected]. Some data may be controlled by your organisation, in which case we may direct your request to them.
10.Children
Terraxi is not directed to children and is intended for users aged 16 and over. We do not knowingly collect data from children below the applicable age.
11.Location permissions — additional disclosure
Terraxi collects and shares location data, including in the background when you enable "Always" access together with location sharing, in order to display your position to your channels and contacts on the map and to attach it to alerts and emergencies. You control this through the in-app location-sharing switch and your operating-system permissions.
12.Changes to this policy
We may update this policy from time to time. We will post the updated version here and update the "Last updated" date; material changes will be communicated in-app or by other appropriate means.
